Administrative Assistant (On-site)
Job Description
Our client, OPMC, plays a critical role in protecting the public by investigating complaints of professional misconduct involving physicians and medical assistants. This Administrative Assistant position offers a unique opportunity to support important investigative work that directly impacts public safety.
- Prepare and send medical record requests using the correct templates, patient details, treatment dates, and facility information
- Prepare Quality Assurance requests and ensure all required enclosures are included
- Draft and send complainant contact letters on schedule
- Prepare subpoenas, pull and scan files, and assist with the certification process
- Track all requests, follow up within required timeframes, and maintain documentation in electronic and physical files
- Schedule and support meetings, prepare agendas, meeting minutes, and memos
- Draft response letters for executives and communicate with external agencies
- Submit confidential data requests and ensure all required information is received
- Schedule investigative meetings both in person and remotely
- Update investigative requests in the iTrak electronic system
- Coordinate secure transfer of documentation to Medical Experts
- Manage incoming investigative calls, certified mail, scanning, documentation, and calendars
- Maintain tracking logs and update information on OPMC SharePoint
Minimum Qualifications
- Experience with Microsoft Office (Word, Excel, Access, Outlook, PowerPoint)
- Experience answering phone calls in a professional manner
Preferred Qualifications
- Excellent organizational skills and attention to detail
- Ability to juggle multiple tasks throughout the day
- Experience in a medical, legal, investigative, or regulatory setting is a plus

Pay Range: $18.00 - $20.00 per hour (Depending on experience and qualifications)
