Executive Secretary (On-site)
Job Description
Our client is seeking a highly organized and detail-oriented Executive Secretary to support the administration of a statewide training mandate. This role requires strong communication skills and the ability to manage multiple tasks efficiently in a dynamic environment.
- Assist with the overall administration of the statewide training program by handling a high volume of phone calls and emails, responding to inquiries promptly and accurately.
- Manage and maintain a comprehensive training calendar, updating and distributing training-related communications, including reminders, new training opportunities, and ethics forum information.
- Monitor and compile monthly and quarterly training metrics for reporting purposes.
- Provide administrative support for training sessions, including creating and scheduling both online and in-person trainings, managing enrollments and class rosters, and maintaining WebEx attendance records.
- Handle course close-out responsibilities, including updating training data and issuing certificates of completion to unit and agency stakeholders.
- Maintain training records for over 300,000 state employees in COELIG’s Statewide Ethics Training Application, ensuring accurate database management, data entry, and troubleshooting assistance for external stakeholders.
- Support Training Associates and lobbying staff during live training sessions, utilizing technology and various video conferencing platforms such as SLMS, WebEx, Google Meet, and Teams.
- Update and distribute educational support materials on the COELIG website and the agency’s SharePoint site.
- Communicate clearly and professionally with agency staff, the public, and the state workforce, demonstrating patience and understanding.
Qualifications:
- Minimum of three years of experience in an administrative support role.
- Advanced knowledge of Microsoft Excel, including pivot tables, and the ability to analyze large datasets.
- Familiarity with ethics and lobbying laws is a plus.
- Strong organizational skills with a keen attention to detail.
- Experience with web-based training programs, desktop publishing, and video conferencing tools is recommended.
- A Bachelor’s degree and specific experience in training program administration, particularly in live instructor-led courses, is preferred.

Duration: Initial estimated service dates are for 11/7/24-2/28/25 however services may be extended for up to a total of two years.

Pay Range: $24.00 - $29.00 per hour (Depending on experience and qualifications)
