Administrative Assistant (Hybrid)
Job Description
We are seeking a highly motivated and dependable Administrative Assistant to support our client. This is an excellent opportunity for an individual looking to contribute to a fast-paced, dynamic environment while assisting senior leadership in their administrative functions.
- Organize and maintain electronic and paper files.
- Perform scanning, photocopying, and data entry tasks.
- Answer, triage, and route incoming phone calls from the State Call Center.
- Process both incoming and outgoing USPS and internal Department of Health mail.
- Operate folding and mail processing machines.
- Enter and analyze data in BEMS computer systems, as well as other systems and databases.
- Format documents in Microsoft Word, Excel, and Access.
- Schedule meetings and manage directors' daily calendars, ensuring no conflicts and prioritizing meetings as necessary.
- Manage travel documents and input travel information into the SFS system.
- Monitor and manage communications deadlines, organizing materials for review.
- Run reports in various systems as required.
- Complete required state forms and assist with submitting paperwork.
- Provide administrative support for multiple projects within the Bureau.
- Periodically cover the front desk, greeting visitors and managing incoming and outgoing building mail.
Required Skills and Qualifications:
- Proficiency in Microsoft Office Suite (Word, Access, Outlook, Excel).
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Ability to work independently as well as part of a team.
- Experience working in electronic databases.
- Comfort in a fast-paced environment, handling senior leadership’s requests and priorities.
- Highly detail-oriented and dependable with a proactive, self-motivated approach.
Preferred Qualifications:
- Familiarity with the EMS system in New York State.
- Experience managing administrative responsibilities such as tracking systems, preparing reports, and handling communications.
- Knowledge of advanced reporting tools, such as Tableau or similar platforms, is a plus.
