Administrative Assistant (Hybrid)
Job Description
Our client, a leader in public health initiatives, is seeking an experienced Administrative Assistant to support the Vaccine Call Center within the Division of Vaccine Excellence. This role focuses on supporting vaccine accountability and ensuring accurate order processing for the Vaccines for Children (VFC) and Vaccines for Adults (VFA) programs.
- Serve as a first point of contact by answering call center inquiries from healthcare providers and the public, and direct complex issues to appropriate team members.
- Review and process vaccine orders through the New York State Immunization Information System (NYSIIS); ensure data completeness and order accuracy.
- Manage reports related to expired or spoiled vaccines and communicate findings to supervisory staff.
- Input and verify data in the Vaccine Tracking System (VTrckS), including provider demographic information and vaccine return documentation.
- Maintain and track inventory related to vaccine purchasing, spoilage, and emergency preparedness.
- Monitor and ensure completeness of provider enrollment and re-enrollment forms, updating profiles as needed.
- Initiate outreach to healthcare providers to confirm demographic and patient data for system accuracy.
Required Qualifications:
- 5+ years of experience in administrative roles, especially involving order review/processing and provider inquiry response.
- Demonstrated ability to review complex information for accuracy and completeness.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience using online systems and data entry platforms (e.g., NYSIIS, VTrckS preferred).
- Strong telephone and interpersonal communication skills with a focus on customer service.
- High attention to detail, organizational skills, and the ability to prioritize workload independently.

Pay Range: $18.00 - $20.00 per hour (Depending on experience and qualifications)
