Legal Secretary (On-site)
Job Description
Join a respected state agency conducting impactful investigations with statewide reach.
- Participating in the investigation of administrative complaints and developing investigative plans
- Obtaining, reviewing, tracking, and documenting investigative materials in databases and software applications
- Preparing investigative summary reports
- Coordinating, researching, preparing, and proofreading responses related to Freedom of Information Law (FOIL) requests
- Coordinating, researching, preparing, and proofreading Executive Correspondence Unit (ECU) inquiries
- Coordinating and following up on subpoenas by gathering materials, conducting research, preparing documentation, and communicating with internal and external stakeholders
- Presenting investigations before internal investigative committees
- Conducting in-person and telephone interviews of complainants, witnesses, and subjects of investigation
- Handling phone communication with licensees, attorneys, complainants, facilities, or other stakeholders
- Drafting and proofreading correspondence to subjects, witnesses, complainants, facilities, or other relevant parties
- Coordinating, tracking, and responding to inquiries made through the Bureau Mail Log (BML)
- Preparing, tracking, and distributing outgoing and incoming mail
- Scheduling meetings and conferences; assisting with technology needs during meetings
- Scanning documents such as medical records, quality-assurance files, and others for electronic storage, proper filing, and distribution
- Other responsibilities as assigned by the supervisor
Minimum Qualifications:
- Proficiency in legal terminology or investigative techniques
- Proficiency with Microsoft Office Suite programs including Outlook, Word, Excel, Access, and PowerPoint
- Proficiency with web-based applications and databases
- Strong ability to manage multiple tasks, prioritize effectively, maintain organized files, and meet deadlines
Preferred Qualifications:
- Experience with the professional medical conduct process
- Experience with SharePoint

Pay Range: $20.00 - $25.00 per hour (Depending on experience and qualifications)
