Legal Secretary (On-site)
Job Description
Our client, a respected organization, is seeking a skilled and experienced Legal Secretary to join their team. The ideal candidate will have a strong background in administrative support within a legal or government setting. This is a dynamic and fast-paced role that requires a detail-oriented professional who can effectively manage multiple tasks and work independently.
Key Responsibilities:
- Case Hearing Coordination: Assist with logistics for the hearing process, including scheduling, documentation, and preparation.
- Document Management: Proficiently operate Microsoft Office products (Word, Excel, PowerPoint) to prepare legal documents and correspondence.
- Postage and Certified Mail: Operate postage meter and manage the process for sending documents via certified mail.
- Call Management: Field incoming calls, assess the legal subject, and route to the appropriate attorney or department.
- Legal Document Coordination: Ensure proper coordination for the service of legal documents.
- Invoice Processing: Process invoices for service companies related to legal matters.
- Organizational Knowledge: Utilize knowledge of the structure and operations of the client’s organization to effectively manage workflows and case details.
- Confidentiality: Handle personal and confidential information professionally and in compliance with legal standards.
- Legal Interpretation: Ability to interpret laws, regulations, and other legal documents.
- Administrative Support: Maintain an organized workspace and manage multiple administrative tasks efficiently.
Qualifications:
- Proficiency with Microsoft Office: Extensive experience with Word, Excel, and PowerPoint.
- Experience in Legal or Government Settings: Previous experience in a legal or government environment, particularly with hearing processes and document coordination.
- Attention to Detail: Excellent organizational skills, ability to prioritize tasks effectively, and keen attention to detail.
- Call Management & Legal Routing: Experience handling legal inquiries and routing calls appropriately.
- Postage Meter & Certified Mail: Experience operating a postage meter and handling certified mail processes.
- Independent Worker: Able to work independently, manage workload, and maintain efficiency under pressure.
- Reliability & Flexibility: Dependable with a flexible approach to handling new tasks and overtime as needed.
- Confidentiality & Professionalism: Able to manage confidential information with discretion and professionalism.
- Experience with Cisco Telephone System: Knowledge of operating Cisco phones is a plus.
- Working Hours: Available to work from 9:00 AM - 5:00 PM, with the potential for overtime on short notice.
