Legal Secretary (On-site)
Job Description
We are seeking a detail-oriented Legal Secretary to support a busy Administrative Hearings Unit. This role is ideal for someone who understands legal processes, thrives in an organized environment, and can manage confidential information with professionalism and accuracy.
Position Overview
The Legal Secretary will provide administrative and clerical legal support by scheduling legal proceedings, preparing legal documents, maintaining legal records, and ensuring the accuracy of legal files. This position requires strong communication skills, attention to detail, and the ability to work comfortably with legal terminology, forms, and research.
Key Responsibilities
- Schedule legal proceedings and maintain legal calendars
- Prepare, review, and edit legal documents as directed
- Review revisions with Administrative Law Judges as needed
- Maintain accurate exhibit lists and ensure proper document storage
- Draft and edit communications including reports, proposals, emails, and website content
- Maintain electronic legal records and ensure timely data entry
- Act as liaison between the Unit and other Agency departments
- Monitor and respond to emails regarding adjournments, representation letters, and inquiries
- File correspondence and maintain organized legal files
- Answer phones and manage general email communications
- Handle incoming and outgoing mail, including post office visits as needed
- Provide support to the Director of the Administrative Hearings Unit and Administrative Specialist as requested
- Perform other duties as assigned
Qualifications
- Associate degree in Legal Assistance OR an Associate degree plus completion of a Legal Assistant Certificate Program from an accredited college
- Minimum of 2 years of experience providing complex clerical legal support to an attorney or on contested cases overseen by an attorney
- Knowledge of legal terminology, legal forms, and basic legal research techniques
- Ability to read and interpret laws and legal documents
- Strong organizational skills and ability to maintain strict confidentiality
- Proficiency with electronic recordkeeping and standard office software
