Job Description

Our client is seeking a highly organized and proactive Administrative Assistant to support daily office operations during a period of staffing vacancies. This role is essential to keeping the office running smoothly, maintaining timely communication, and ensuring exceptional customer service for internal teams and external stakeholders. The assignment is expected to last several months, potentially up to one year.

  • Serve as the first point of contact by providing courteous, timely telephone reception; transfer calls appropriately; manage voicemail and return or route messages
  • Sort, track, and distribute incoming mail; prepare outgoing correspondence using proper formatting and office letterhead; maintain organized filing systems
  • Draft and send email communications and notifications to internal staff, department members, schools, districts, and additional external partners
  • Support staff with daily clerical needs, including photocopying, scanning, and document filing
  • Deliver excellent customer service by monitoring the shared office inbox, forwarding inquiries to appropriate staff, and responding promptly
  • Prepare travel forms, maintain travel logs, schedule appointments, and coordinate Zoom or Teams meetings and webinars
  • Submit work orders for office equipment, phones, and software for current and incoming staff; follow up to ensure completion
  • Assist in managing office procedures, maintaining workflow efficiency, resolving day-to-day operational issues, tracking progress on projects, and coordinating information flow across the team

  • Proactive, resourceful, and able to work independently
  • Comfortable supporting a team with varying administrative needs

Pay Range: $18.00 - $20.00 per hour (Depending on experience and qualifications)
