Job Description

Our client is seeking a highly skilled and motivated Program Administrator (PA) to serve as the Subject Matter Expert (SME) for their program. The PA will be responsible for overseeing and managing the program pipeline, coordinating inquiries, and acting as the primary point of contact (POC) between the public, local program management, planning teams, and the client. This position involves tracking the program’s progress toward its goals, producing regular reports, managing program documentation, and advising on the best use of resources.

The PA will also address project issues, develop solutions to meet productivity and quality goals, and ensure client satisfaction. The role requires a proactive, results-driven individual with a "can-do" attitude and the ability to manage multiple responsibilities in a fast-paced environment.

  • Coordinate with internal and external stakeholders to meet monthly program targets.
  • Interface regularly with clients to ensure satisfaction, including consistent communication and meetings.
  • Validate that projects meet program requirements and perform quality assurance reviews.
  • Update manuals, guidelines, FAQs, and other program-related documents.
  • Ensure that program documents are up-to-date in coordination with the client.
  • Manage document review/approval processes with the client.
  • Review and analyze program pipeline data and reporting.
  • Track, investigate, and resolve customer and Trade Ally escalations.
  • Gain an in-depth understanding of project processing, savings methodologies, and best practices.
  • Collaborate with cross-functional teams to implement continuous improvement initiatives.
  • Maintain strong client, customer, and vendor relationships with a focus on satisfaction.
  • Provide quality assurance reviews for projects and ensure adherence to program guidelines.
  • Regularly contribute to the development of new concepts and best practices.
  • Develop creative solutions for complex problems in line with organizational objectives.
  • Stay informed and apply energy efficiency principles and mathematical models.
  • Provide client support with a focus on customer satisfaction.
  • Stay updated on technical, regulatory, political, and environmental issues affecting energy efficiency programs.
  • Attend and participate in internal and external training sessions, conferences, and outreach events.
  • Develop program management tools for tracking project performance and proactive issue resolution.
  • Deliver program presentations to various audiences for recruitment, training, and communication purposes.
  • Serve as a consultant to management and external spokesperson on program matters.

Required Skills:

  • Ability to travel for site visits throughout the state of New Jersey.
  • Proficiency in MS Office and Customer Relationship Management (CRM) software.
  • Strong record-keeping and organizational skills.
  • Ability to work effectively and respectfully with culturally diverse customers and contractors.
  • Strong critical thinking, analytical, and problem-solving abilities.
  • Team-oriented, hands-on, adaptive, and client-focused.
  • Excellent time management and organizational skills.
  • Must have reliable transportation and a valid driver’s license with a clean driving record.
  • Must be NJ resident

Additional Preferred Qualifications:

  • Experience in the energy or utility industry.
  • LEED or CEM credentials.

Education and Experience:

  • Bachelor’s degree from an accredited college in a related discipline or equivalent experience/education.
  • Up to 5 years of professional experience, with the ability to act as an emerging authority and SME in the relevant discipline.

Pay Range: $38.46 - $43.26 per hour (Depending on experience and qualifications)
